Ryan Ginsberg and Chris Carolan work through revenue recognition on HubSpot contracts. One customer who wants to prepay a renewal opens up what every date means, why the process should stamp them, what NetSuite needs when a contract changes, and who owns revenue reporting.

Key takeaways

Most of the time, contract start dates and invoice dates line up. The edge case is the customer who wants to prepay: an invoice dated today for a renewal four months out, and HubSpot has no quick button for that yet.

When a workaround has run for years, ask two questions: is the business doing the wrong thing, or is the software missing functionality it needs?

Start with a common language: document what each word and each date means, when it applies and when it does not. If your team does not understand a name, AI probably does not either.

Before blaming a customer for being difficult, look at how their process aligns with yours. Self-service portals can make it easier for them to follow their own process.

Dates drive the dollars, so a date should be stamped by the process, not by someone's decision. A ship date should only exist once the thing has shipped.

When customers cannot see an update for themselves, they email, and the email becomes the record. "Our system will update later" is no longer good enough.

Define the ERP handoff by scenario: for a new contract and for each kind of change, what does NetSuite need? Ryan walks six scenarios with test records to pin down the payload.

When the software does not match the business process, the work happens outside the system, and teams end up building CYA systems instead of success systems.

Revenue is recognized in the month the service was earned. In Ryan's engagement, HubSpot holds the contract information, but HubSpot does not do revenue recognition and the books stay in NetSuite.

Agree on what unified, revenue and view mean before anything else. Revenue operations rarely owns all of the revenue reporting, because it does not own the books.

Start from the end state, money in the bank with invoices and payments reconciled at month end, and work backwards through the whole journey.

Chris sees AI taking the leading role in operations, the orchestration of the business, while people lead on customer relationships.
